Turnaround
Client
Automotive leasing company
Challenge
Promotional emails for specific deals took up to a week to get out via an external agency.
Work
Self-serve, form-to-send email automation.
Turning a week-long email request into a same-session send
Atom Digital built an automotive leasing company a self-serve email automation that turns a deal promotion into a scheduled send in minutes, replacing a request-and-wait process that used to take up to a week.
The outcome
What used to take up to a week now takes minutes, from form submission to a scheduled send.
What the pipeline does
- Client submits a form with the deal details
- Scrapes the live deal data from the client’s own pages
- Formats it into HTML and populates a responsive template
- Sets the email up in the client’s marketing platform
- Sends a test through for approval
- Schedules and sends to the target audience once approved
How it was done
The situation
When the business wanted to promote a specific deal or set of deals by email, the request went to an external agency to build.
A week of lag on time-sensitive deals
That request-and-build cycle was slow. A response could take days, then the agency had to build the email template, then it had to go through approval — up to a full week to get one promotional email out. For time-sensitive deals, that lag mattered.
Diagnosis and decisions
The bottleneck was the manual, agency-dependent template-building step. Removing it meant automating the two things a human was doing by hand: pulling the deal details together, and building the email around them.
From form submission to scheduled send
Atom Digital built a form-to-send pipeline: the client fills out a form with the deal details they want to promote, the system scrapes the live deal data straight from the client’s own web pages, formats it into HTML, and populates a modern, responsive email template. The system sets the email up directly in the client’s email marketing platform, sends a test through for approval, and — once approved — automatically schedules and sends it to the target audience at the chosen date and time.
